Dear Hiring Manager,

Randstad Education's SEN Administrator vacancy in Cambridgeshire aligns directly with my background in school-based administration. Having worked within a school office environment, I am proficient in SIMS for pupil data management and experienced in supporting day-to-day administrative functions — from reprographics requests to routine correspondence — that keep a school running smoothly.

My background in school administration includes managing pupil records across a busy office, providing front-of-house reception cover, and delivering accurate data outputs to teaching and pastoral staff. I hold an Enhanced DBS on the update service and have supplied two recent professional references, meaning I can begin a placement with minimal delay.

1Question

Tell me about a time you had to manage multiple administrative tasks simultaneously in a school environment — how did you prioritise?

Situation: During a particularly busy period at the end of the autumn term, I was simultaneously responsible for updating SIMS records for 120 new admissions, processing 25 reprographics requests, and covering reception while a colleague was absent. Task: I needed to ensure nothing was missed and that all tasks were completed before the school day ended. Action: I created a priority list each morning, tackling time-sensitive reception duties first, batching reprographics requests into two daily runs, and dedicating the quieter lunchtime period to SIMS data entry. Result: All 120 records were updated within three days, reprographics requests were fulfilled with no complaints, and reception ran without disruption throughout the week.
2Question

Describe a situation where you had to communicate sensitive information to a parent, pupil, or member of staff. How did you handle it?

Situation: A parent arrived at reception distressed, asking for an update on their child's EHCP review, which had been delayed by six weeks. Task: I needed to provide accurate information without overstepping my remit or disclosing details I was not authorised to share. Action: I calmly acknowledged their concern, confirmed I would check the current status with the SENCO immediately, and offered them a seat while I made the enquiry. I relayed the SENCO's update clearly and arranged a follow-up call for the same afternoon. Result: The parent left reassured, the SENCO confirmed the call resolved the issue, and the school received a written thank-you from the family the following week.
