1Question

Tell me about a time when you had to manage conflicting priorities for multiple executives

When working as PA to three department heads at a creative agency, I faced a situation where all three needed urgent meeting rooms booked for the same afternoon, but only two were available. I quickly assessed the meeting priorities by reviewing agendas and stakeholder importance. I secured the two available rooms for the most critical client meetings, then negotiated with a neighbouring department to borrow their conference space for the third meeting. I also arranged for additional AV equipment and ensured all three meetings ran smoothly. This proactive approach prevented any delays and maintained positive relationships with all stakeholders while demonstrating my ability to think quickly under pressure.
2Question

Describe a situation where you had to handle confidential information appropriately

While supporting a media company director during acquisition discussions, I was responsible for managing highly sensitive financial documents and correspondence. I implemented a secure filing system using password-protected folders and ensured all physical documents were locked away each evening. When team members asked about the director's increased meeting schedule, I provided general responses about busy periods without revealing specific details. I also coordinated confidential meetings using coded calendar entries and arranged private meeting spaces. The acquisition completed successfully six weeks later, and my discretion was specifically acknowledged by senior management. This experience reinforced my understanding of the critical importance of confidentiality in executive support roles.
