1Question

Tell me about a time when you had to manage multiple administrative tasks in a busy environment

During a particularly busy period at my previous role, I had to process 200 customer orders while managing phone calls and updating delivery schedules simultaneously. I created a priority system, tackling urgent delivery queries first while batch-processing routine paperwork during quieter periods. I also set up automated reminders in Microsoft Outlook to ensure nothing was missed. As a result, I maintained 98% accuracy across all tasks and received positive feedback from both customers and management for keeping operations running smoothly during the peak period.
2Question

Give an example of when your organisational skills helped improve a process or solve a problem

I noticed our delivery tracking system was causing confusion because drivers and office staff were using different reference numbers for the same jobs. I created a standardised tracking spreadsheet that linked both numbering systems and included customer details, delivery addresses, and completion status. I trained 8 team members on the new system and established daily update procedures. This reduced delivery mix-ups by 85% and cut customer inquiry calls by 40%, as everyone could quickly locate accurate delivery information using either reference system.
