STAR answer examples

Model answers using the Situation-Task-Action-Result framework. Adapt to your own experience.

1Question

Tell me about a time you dealt with a difficult visitor or caller

A client arrived 45 minutes early for their appointment, demanding immediate attention whilst I was managing 3 incoming calls. I acknowledged their frustration, explained the situation calmly, and offered them refreshments whilst checking if their meeting could be moved forward. I contacted the department head who agreed to see them 20 minutes early. The client appreciated my proactive approach and later complimented my professionalism to management. This taught me that clear communication and creative problem-solving can turn challenging situations into positive experiences.
2Question

How do you prioritise tasks when the reception area gets busy?

During a particularly hectic morning with 12 visitors waiting and constant phone calls, I implemented a triage system. I greeted each visitor personally, logged their details, and gave realistic wait times. For phone calls, I answered within 3 rings, identified urgent matters, and scheduled callbacks for non-urgent inquiries. I used our booking system to reschedule 4 appointments to spread the load. This approach reduced average wait time from 25 to 8 minutes and maintained service quality despite the 300% increase in visitor volume.
