1Question

Tell us about a time you had to manage multiple HR administration tasks simultaneously with tight deadlines. How did you prioritise?

In my previous role, I was responsible for processing 150 monthly absence requests, preparing 12 contract renewals and supporting payroll timesheets—all due within a single week. I created a priority matrix, identifying which tasks had hard deadlines (payroll by Friday) versus flexible ones (absence reports by end of week). I tackled payroll first, then contracts, and used any gaps to process absence requests. I also communicated proactively with my manager about realistic timelines. By the end of the week, all tasks were completed on time with zero errors, and my manager appreciated the transparency about workload. This taught me that clear prioritisation and communication prevent bottlenecks.
2Question

Describe an instance where you had to handle sensitive or confidential employee information. How did you ensure discretion?

I once processed disciplinary documentation for a senior employee, including confidential letters and investigation notes. I ensured the physical files were stored in a locked cabinet, only accessed by authorised HR staff. Digitally, I used password-protected folders and never discussed the case with colleagues outside HR. When printing documents, I collected them immediately and shredded drafts. I also followed our data retention policy strictly, archiving files after the required period. The employee later left the organisation, and no confidential information was ever breached. This experience reinforced how critical discretion is in HR—one slip could damage trust and expose the organisation to legal risk.
