Cover letter sample letter: 10 UK templates by stage
10 UK cover letter samples by career stage — school leaver to executive. British spelling, DD/MM/YYYY, NHS values, ATS-ready. Free templates 2026.
On this page

If you're searching for a cover letter sample letter in the UK, you've probably found dozens of generic templates that ignore British recruitment conventions. According to ONS Labour Force Survey data (2025), the UK has around 812,000 vacancies — but hiring managers at Reed report that fewer than 30% of applications include a properly tailored covering letter. That's your edge. Below are 10 ready-to-use UK cover letter samples, organised by career stage, from school leaver applying to a Tesco Christmas temp role through to executive letters for FTSE 250 board positions. Each follows UK conventions: no photo, sentence case, active voice, DD/MM/YYYY dates.

What is a cover letter sample letter?
A cover letter sample letter is a pre-written UK covering letter template you can adapt to your own application. It shows the standard British structure — sender address, date in DD/MM/YYYY, recipient, salutation, three to four paragraphs, and a formal sign-off — with placeholder content demonstrating the tone and phrasing UK recruiters expect. A good sample saves time and helps you avoid Americanisms.

UK cover letter rules recruiters actually check
Before copying any sample, understand what UK hiring managers look for. The CIPD's Resourcing and Talent Planning survey and Reed's 2025 recruiter guidance consistently highlight five non-negotiables:
- Length: One A4 page, 250-400 words. See our guide on how long a cover letter should be in the UK.
- No photo, no age, no marital status — Equality Act 2010 makes these irrelevant and risky.
- British spelling throughout: organise, specialise, programme, colour.
- Dates in DD/MM/YYYY (e.g. 15/03/2026).
- Formal sign-off: "Yours sincerely" if you named the recipient; "Yours faithfully" if you used "Dear Sir/Madam".
Most UK recruiters use ATS software (Workday, Greenhouse UK, Reed ATS). Run yours through our free ATS checker before submitting.
File format for UK ATS: PDF or .docx?
The single most common technical mistake UK applicants make is submitting the wrong file format. Here is the plain-English rule based on how the three dominant UK ATS platforms parse cover letters:
| ATS platform | Best format | Also accepted | Avoid |
|---|---|---|---|
| Workday (Big 4, Civil Service, most FTSE 350) | .docx | .pages, .rtf, image PDFs | |
| Greenhouse UK (tech, scale-ups) | .docx, .txt | Scanned PDFs, .odt | |
| Reed ATS / TotalJobs / Indeed UK | .docx | PDF (searchable) | Image PDFs, .pages |
| NHS Jobs / TRAC | Online form (paste text) | PDF attachment | Formatted tables, images |
Rule of thumb: save as a searchable PDF (never a scanned image), keep the filename simple — Firstname-Surname-Cover-Letter.pdf — and confirm the file is under 2MB. If the job advert names Reed or the employer's careers portal explicitly requests Word, submit .docx instead. Never merge your CV and cover letter into a single file unless the advert asks for it: UK ATS parsers score them separately.

Stage 1: School leaver / first job (age 16-18)
Scenario: Applying for a weekend retail role at Marks & Spencer or a Tesco Christmas temp position with no prior work history.
15 Willow Close
Manchester M14 5AB
15/03/2026
Ms J. Patel
Store Manager, Marks & Spencer
Market Street, Manchester M1 1WT
Dear Ms Patel,
Re: Weekend Sales Assistant (Ref: MS-1284)
I am writing to apply for the weekend Sales Assistant role advertised on your careers site. I am currently studying for my A-levels at Manchester Grammar School and am keen to gain experience with a retailer known for excellent customer service standards.
Although this would be my first paid role, I have volunteered at the school open evenings and helped organise the Year 11 charity fundraiser, which raised £1,240 for Manchester Mind. These experiences taught me to stay calm under pressure and communicate clearly with visitors of all ages.
I can work Saturdays and Sundays throughout term-time and full weeks during school holidays. I would welcome the opportunity to discuss my application at interview.
Yours sincerely,
Amelia Thompson
Stage 2: University student / part-time role
Scenario: Second-year undergraduate applying for a bar role at a Wetherspoon pub.
Dear Mr Bennett,
Re: Bar Team Member, The Moon Under Water (Manchester)
I am a second-year Economics student at the University of Manchester and would like to apply for the part-time bar role advertised on your recruitment portal. Your reputation for structured shift patterns fits well around my timetable.
During summer 2025, I worked as a barista at a busy independent café in Didsbury, serving up to 200 customers per shift. I hold a Level 2 Award for Personal Licence Holders and am comfortable operating tills, cellar equipment and card readers.
I am available 20 hours per week during term and full-time during university holidays. Thank you for considering my application.
Yours sincerely,
Jamal Okonkwo
Stage 3: Graduate scheme applicant (Big 4, Civil Service Fast Stream)
Scenario: Final-year student applying to Deloitte's Audit & Assurance graduate scheme or the Civil Service Fast Stream.
Dear Recruitment Team,
Re: Audit & Assurance Graduate Programme 2026 (Ref: DEL-AAG-1108)
I am writing to apply for Deloitte's 2026 Audit & Assurance graduate programme. As a final-year BSc Accounting & Finance student at the University of Warwick (predicted 2:1), I am drawn to Deloitte's investment in ACA-qualified auditors and your ongoing work with FTSE 100 clients.
During my ten-week 2025 spring internship at a mid-tier firm, I supported the audit of a listed housebuilder, drafting substantive testing workpapers and helping the senior with materiality calculations. I passed my ICAEW Certificate Level modules in Accounting and Assurance with distinctions.
Beyond academia, I lead Warwick's 180-member Investment Society, where I coordinate weekly stock pitches and manage a paper portfolio benchmarked against the FTSE All-Share.
I would welcome the opportunity to demonstrate my commercial awareness at your assessment centre.
Yours faithfully,
Priya Ramanathan
Big 4 letters must show commercial awareness. See our full guide to writing a cover letter with no experience for extra structural tips.
Stage 4: Early career (0-3 years experience)
Scenario: Marketing executive with 18 months' agency experience applying for an in-house role at BBC Studios.
Dear Ms Clarke,
Re: Digital Marketing Executive, BBC Studios (Ref: BBC-DME-2026-04)
I am applying for the Digital Marketing Executive role advertised on the BBC careers portal. My 18 months at a Manchester content agency have given me practical experience managing multi-channel campaigns for consumer brands, and I am now keen to move client-side with an organisation whose editorial standards I have followed since university.
In my current role at Bright North, I run paid social campaigns averaging £12,000 monthly spend across Meta and TikTok. My most recent campaign for a Yorkshire food brand achieved a 4.1x ROAS and a 22% lift in branded search — results I attribute to careful audience segmentation and iterative creative testing.
I am familiar with GA4, Looker Studio and HubSpot, and I completed the Google Analytics Individual Qualification in January 2026. I would relish the opportunity to bring analytical rigour to BBC Studios' D2C content marketing.
Yours sincerely,
Ethan Whitmore
Stage 5: Mid-career professional (4-8 years)
Scenario: Software developer moving from a Manchester scale-up to a London fintech.
Dear Ms Nkomo,
Re: Senior Backend Engineer, Monzo Bank (Ref: MB-BE-4421)
I am writing to apply for the Senior Backend Engineer role. Six years building payment infrastructure at a scale-up have prepared me for the reliability challenges Monzo publishes about openly — and your recent engineering blog on Go-based Kafka consumers is exactly the environment I want to contribute to.
At my current employer, I led the re-architecture of the direct debit ingestion pipeline, reducing failed payments by 34% and cutting on-call incidents by half. I work daily in Go, PostgreSQL and gRPC, and mentor two junior engineers on production readiness.
I am ready to relocate to London and can start with four weeks' notice.
Yours sincerely,
Marcus Adeyemi
Stage 6: Career changer (transferable skills focus)
Scenario: Primary school teacher moving into corporate learning & development.
Dear Mr Hughes,
Re: Learning & Development Advisor, Lloyds Banking Group
After seven years as a Key Stage 2 teacher and Year 5 lead at a two-form Bristol primary, I am applying for the L&D Advisor role at Lloyds. My CIPD Level 5 Diploma in Learning and Development (completed February 2026) formalises what teaching has taught me daily: how adults and children absorb, retain and apply new information.
My transferable strengths are directly relevant. I have designed and delivered curriculum for 60+ children across differing ability levels, mentored three trainee teachers through their ECT year, and led our school's phonics rollout — a two-year change project involving staff training, resource design and progress measurement.
I am eager to apply pedagogical thinking to a commercial context and would welcome an interview.
Yours sincerely,
Sarah Whitfield
Stage 7: Returning to work after a career break
Scenario: HR professional returning after four years' caring responsibility.
Dear Ms Fischer,
Re: HR Business Partner, John Lewis Partnership (Ref: JLP-HRBP-0326)
I am writing to apply for the HR Business Partner role at the Oxford Street flagship. Between 2018 and 2022 I held HRBP roles at two retail employers before taking a four-year career break to care for two children. I am now returning to work and am specifically drawn to the Partnership's employee-owned model, which aligned with the reason I left my previous employer.
During my career break I completed a CIPD Level 7 refresh module (May 2025) covering employment law updates including the Employment Rights Bill 2024. I kept in touch with the profession through the CIPD returners' network and regular Partnership shopping visits gave me a candid customer-facing perspective on your culture.
I am ready to work four days per week and could commence on 06/05/2026.
Yours sincerely,
Rebecca Coleman

Stage 8: NHS / public sector application
Scenario: Band 5 nurse applying for a Band 6 role at Guy's and St Thomas' NHS Foundation Trust. NHS cover letters follow a values-based framework — reference the NHS Constitution's six values explicitly.
Dear Ms Ashworth,
Re: Band 6 Senior Staff Nurse, Cardiothoracic HDU (Ref: 196-CTHDU-2026)
I am writing to apply for the Band 6 Senior Staff Nurse role at Cardiothoracic HDU. I have been a Band 5 nurse in cardiac surgery at Manchester Royal Infirmary since qualifying in September 2022 and am now ready to step up.
My practice is guided by the six NHS Constitution values, particularly "respect and dignity" and "commitment to quality of care". As shift coordinator on nights, I have led safe staffing decisions during periods of acute pressure. I completed the ILS course in November 2025 and am booked onto ALS in June 2026.
I meet all essential criteria on the person specification including two years' post-registration experience in a high-acuity setting. I look forward to the opportunity to demonstrate this at interview.
Yours sincerely,
Grace Owusu, RN (NMC 22H1234)
For healthcare assistants specifically, see our dedicated NHS healthcare assistant cover letter template.
Stage 9: Senior manager (10+ years)
Scenario: Head of Operations moving from logistics to a Head of Supply Chain role at Sainsbury's.
Dear Mr Halstead,
Re: Head of Supply Chain, Sainsbury's Argos (Ref: SBS-HOSC-26)
I am applying for the Head of Supply Chain role. Twelve years in logistics — most recently four years as Head of Operations at a top-five UK 3PL — have prepared me for a client-side role at scale, and Sainsbury's ongoing investment in Argos same-day fulfilment is the challenge I want next.
At my current employer I own a £48m annual budget across three DCs and 620 colleagues. In FY25 I delivered £4.2m of run-rate savings through route optimisation and shift redesign, while improving OTIF from 94.1% to 97.8%. I am a Chartered Member of CILT (MILT) and hold the Level 6 Diploma in Logistics and Transport.
I welcome the opportunity to discuss how I would approach the peak 2026 planning cycle.
Yours sincerely,
David Kelleher, MILT
Stage 10: Executive / director level
Scenario: CFO candidate applying for a Non-Executive Director role at a FTSE 250 company.
Dear Sir Anthony,
Re: Non-Executive Director & Audit Committee Chair
Following our introduction by Odgers Berndtson, I am writing formally to express interest in the Non-Executive Director and Audit Committee Chair vacancy at [Company].
My 22-year executive finance career includes eight years as CFO of a FTSE 250 industrials group, where I led the 2019 IPO on the London Stock Exchange and oversaw a subsequent secondary raise of £180m. I am a Fellow of the ICAEW (FCA) and completed the FT NED Diploma in 2024.
I am currently NED at two private-equity-backed businesses and would welcome the opportunity to bring listed-company governance experience to your board. My availability for a first conversation is set out in the accompanying schedule.
Yours sincerely,
Elizabeth Harrington FCA
Bonus: Speculative (unsolicited) cover letter
Scenario: A speculative approach to a target employer with no advertised role. According to Prospects.ac.uk, roughly one in three UK graduate hires never appears on a public job board — speculative letters can unlock these hidden roles.
Dear Ms Sinclair,
Re: Speculative enquiry — Product Manager opportunities
I am writing on the recommendation of James Ridley (Head of Product, ex-Ocado), who suggested Octopus Energy Kraken as an environment where my background in energy tech would translate well.
Over the past four years I have led product for a Series B smart-meter start-up in Bristol, taking our tariff-optimisation feature from concept to 42,000 active households and £1.9m ARR. I am particularly interested in Kraken's international licensing model and would welcome an exploratory 20-minute conversation if any relevant vacancies are anticipated in the next quarter.
I have attached my CV for reference and can travel to London on any Tuesday or Thursday. I appreciate that no role is currently advertised — thank you for considering my note.
Yours sincerely,
Nadia Rahman
Regional nuances: Scotland, Wales, Northern Ireland
The samples above use England-based scenarios, but UK recruitment is not homogeneous. If you are applying in Scotland, Wales or Northern Ireland, adapt the following details in your covering letter.
Scotland
The Scottish Government uses the Work for Scotland portal for Civil Service applications, with its own competency framework distinct from Whitehall's Success Profiles. Reference "Scottish Government values" — improving outcomes, integrity, and inclusion — rather than English Civil Service Behaviours. NHS Scotland uses Agenda for Change bands identical to NHS England, but Trust names differ (e.g. NHS Greater Glasgow and Clyde, NHS Lothian). Cite Scottish employers by their Gaelic-inclusive form where relevant.
Wales
NHS Wales also uses Agenda for Change (Bands 1-9), but recruitment runs through NHS Wales Careers and a values framework rooted in the NHS Wales Core Principles. Welsh Government roles list "Welsh language desirable" for many public-facing posts — mention any Welsh proficiency (spoken, written, or CEFR level) even if basic. Address bilingual employers with both English and a courteous Welsh greeting where appropriate.
Northern Ireland
NI has a separate Civil Service (NICS) and its own health and social care structure (HSC Trusts, not NHS Trusts). The Fair Employment and Treatment (NI) Order 1998 imposes stricter monitoring rules than the Equality Act 2010 — never reference community background, school, or political affiliation. Roles at Stormont are advertised via nidirect.
How to adapt any sample letter to your own application
Never send a sample verbatim. Follow this four-step personalisation process:
- Match the job advert: Copy 3-5 keywords from the job description into paragraph two.
- Quantify one achievement: Add a specific number (% improvement, £ saved, people managed).
- Name the employer: Reference something specific — a recent product, campaign, or values statement — proving you've researched them.
- Run the ATS check: Paste your letter and the job advert into our free ATS checker before submitting.

FAQs
What does a cover letter look like for a UK job?
A UK cover letter is one A4 page with your address top-right, the date in DD/MM/YYYY, recipient's name and address, a subject line referencing the job title and reference number, three to four paragraphs, and a formal sign-off ("Yours sincerely" or "Yours faithfully"). No photo, no date of birth, no marital status — all prohibited under Equality Act 2010 best practice.
How do I start a cover letter in the UK?
Address it to a named person wherever possible — "Dear Ms Patel" — using LinkedIn or a phone call to the switchboard to find the hiring manager. If no name is available, use "Dear Sir/Madam" and sign off with "Yours faithfully". Open the first paragraph by stating the exact role, reference number, and where you saw it advertised.
How long should a cover letter be in the UK?
Between 250 and 400 words on a single A4 page — roughly three to four short paragraphs. Anything shorter looks unenthusiastic; anything longer will be skimmed. Reed and TotalJobs recruiters consistently rank one-page letters as the strongest format. For detailed guidance, see our UK cover letter length guide.
Should I send my cover letter as PDF or Word?
Send a searchable PDF for Workday, Greenhouse UK and most Civil Service or FTSE employer portals. Send .docx if the advert explicitly requests Word, or when applying via Reed, TotalJobs or Indeed UK — their parsers handle Word natively. Never submit a scanned image PDF, .pages or .rtf: UK ATS systems will fail to read the text.
Should I use "Yours sincerely" or "Yours faithfully"?
Use "Yours sincerely" when you have addressed the letter to a named individual ("Dear Ms Ashworth"). Use "Yours faithfully" when you have used a generic salutation ("Dear Sir/Madam"). This is the standard British convention taught in the gov.uk Style Guide and used by Civil Service recruitment. Getting this wrong is an easy way to look careless.
Is a cover letter still necessary in 2026?
Yes — around 74% of UK recruiters surveyed by Reed in 2025 said a well-written cover letter influences shortlisting decisions, especially for graduate, career-change and public sector applications. It is optional for some digital application forms (LinkedIn Easy Apply, Indeed Quick Apply) but always adds value when included.
Can I use the same cover letter for multiple applications?
No. Use the same structural template, but rewrite paragraphs two and three for each employer. UK recruiters spot generic letters instantly — mentioning the wrong company name or a mismatched role is an automatic rejection at many ATS-screened employers. Use SpeedCV's job match feature to tailor each application quickly.
Key takeaways
- UK cover letters follow strict conventions: one page, no photo, DD/MM/YYYY dates, British spelling throughout.
- Match the sample letter to your career stage — a school leaver template will not work for an executive role and vice versa.
- Save as a searchable PDF for Workday and Greenhouse UK; use .docx for Reed, TotalJobs and Indeed UK.
- Personalise every letter: name the employer, quote the reference number, quantify one achievement.
- Use "Yours sincerely" with a named recipient; "Yours faithfully" with "Dear Sir/Madam".
- Adapt regional wording for Scotland (Work for Scotland), Wales (NHS Wales Core Principles) and NI (NICS, HSC Trusts).
- Test every letter through an ATS checker before submitting — UK recruiters use Workday, Greenhouse and Reed ATS.
