1Question

Tell me about a time you had to manage competing deadlines for document delivery

During a major road infrastructure project, I faced simultaneous demands from 3 project teams needing critical documentation within 48 hours. The situation arose when environmental assessments, structural drawings, and safety protocols all required urgent updates for a client milestone meeting. I prioritised based on project impact, creating a task matrix that identified the structural drawings as most critical. I coordinated with the design team to expedite those first, then processed the environmental documents while liaising with the safety team about a 24-hour extension. This approach ensured the client meeting proceeded with essential documentation, while maintaining quality standards across all deliverables.
2Question

Describe a situation where you identified a documentation error that could have caused project delays

While reviewing technical drawings for a bridge construction project, I noticed discrepancies between the foundation specifications and the geotechnical survey data. The drawings showed concrete depths of 2.1 metres, but the survey indicated bedrock at 2.8 metres depth. I immediately flagged this to the project engineer and halted distribution of the affected drawings. My intervention prevented a potential 3-week delay that would have occurred if construction had begun with incorrect specifications. We coordinated with the design team to revise the drawings within 5 days, and I implemented a cross-reference checking process that prevented similar issues on subsequent phases.
